Rotary Attendance Summarization - Attendance requirements
1. Must be present for 60% of the meeting's duration to get credit
2. Attend at least 60% of club regular meetings in each halt of the Rotary year
3. Attend at least 30% of the regular meetings of this club's regular meetings in each half of the Rotary year
Make-up
1. If at any time within 14 days before or after the usual meeting time such
member:
Attends another club meeting
Attends a regular meeting of Rotary or Interact Attends an RI convention
Attends another club, but the scheduled meeting did not take place Travels to a country where there is no Rotary club
Is traveling on some official Rotary business
2. Must give the secretary make-up information promptly
3. Attendance at a Gurnee board meeting is allowed as an official make-up. One make up per quarter, applied 14 days before or after missed meeting
Exemption
1. Protracted ill health
2. Stay of more than 2 weeks in a non-Rotary country 3. Senior active member
Termination
1. Automatic termination, unless the board consents to such non- attendance for
good and sufficient reason:
Failure to attend at least 60% of club meetings in any half year -Failure to attend 30% of Gurnee club's meetings in any half year
2. Termination for other causes. Pending action shall be given at least 10 days prior.
Member no longer has the qualifications for membership- 213 vote of membership
Other reasons for which the board thinks sufficient - 213 vote of membership
Policy for Members with Low Attendance
I. The secretary will make a monthly report to the board regarding members with low attendance. The following action will be taken to deepen their attendance commitment:
a) First incident of low attendance (below 66%): post card from secretary b) Second consecutive incidence:
1. The secretary will send a letter stating the Rotary attendance policy, as well as explaining the opportunities for make-up meetings. The letter will also ask it the individual needs to apply for a leave of absence.
2. Personal contact from a board member will be made. The purpose of his contact is, first of all, to ensure that the member, his/her business and family are well. If so, the secondary purpose of this contact is to stress the importance and participation in club meetings and activities. A Rotarian will get out of the club what they put into it!
c) Third consecutive incidence: A letter will be sent from the president and board stating that a Motion will be made at the next board meeting to remove this person from Rotary. The date of the Board meeting will be stated. If the member does not wish to be dropped, he or she must increase their attendance.
d) If there is no response from the member, they will be dropped from membership at the next Board meeting.
II. If a member responds to any of these contacts and increases his/her attendance, but falls short again in the future, the board will determine whether the process will start all over again, or move on to step two, three or four.
