Getting Acquainted With ClubRunner - Email

One of the nicest features of our new club software, ClubRunner, is the email capabilitiy that it offers. With ClubRunner you now have the ability to email any member of the club from the club Admin page. One of the biggest advantages of this is you don't have to add 100 email addresses to your personal email. If you are a committee head, are co-chairing an event, or simply have a need to communicate with the same group on a regular basis, you can create your own distribution list in ClubRunner and not have to worry about keeping up with individual addresses.

 

Another nice feature of ClubRunner is that it is an "outgoing only" process. You send your email to the club members you choose, but they receive the email at the address they have designated in their profile. The beauty of this is that you don't have to continually login to ClubRunner to check your incoming club emails. They go right to your regular email and you can respond back from there.

 

Hopefully you have had a chance to begin using some of the features ClubRunner offers. To help you over the hump, here's a quick tutorial on getting started with ClubRunner email:

 

 

Create a New Email

 

To create a new e-mail, do the following:

  • Login and go to the Admin page.
  • Click on Email Message Centre [NEW] in the My ClubRunner section.

    This will open a new window and take you to a page listing all the past emails you've sent. If this is the first time you're doing this, the list will be blank.
  • Click on Add New Email on the top right of the page.
  • On the right side, select the recipients to which you would like to send the email.
  • On the left, enter the email subject and message.

    Below the message editor you have many options to choose from such as adding attachments (please note that attachments cannot exceed 3MB in size), when to delete the message, copy yourself on the email, and send the list of recipients as an attachment.

 

 

Sending your Email

 

Now that you've composed your email and selected your recipients, you are now ready to send it out.

Before sending, you have a couple of options to choose from:

·   Delete: Delete after one month, delete after 3 months, and delete after 2 months. Depending on which you select, the email will be kept until the allotted time frame has passed, after that time, it will be automatically deleted.

·   Send a list of recipients as an attachment: If you select this option, your email will be sent with a text file attachment which will display a list of the recipients. Please note: The list will only display the first and last names of the recipients.
