8 simple steps to make your next event a success

Let technology do the work when planning your next event. ClubRunner has tools to let you make your next event a huge success. Best of all, all eight steps can be done in the comfort of your home. Grab a coffee, turn on your computer, and promote your next event!
  1. Post your event on your club webpage
Remember, your club site remains the primary source of information for your members, as well as other Rotarians who are visiting your site. When entering the details, keep in mind that this text is what appears on announcement emails, as well as the site. Describe the event in full, and include an interesting picture. Make it sound as appealing and fun as possible. (Learn How)

  2. Send out email invitations to club members
There are currently 3,083,324,652 webpages in the world. Simply posting the event on the web is no guarantee that every member or potential attendee will ever know about it. With EventPlanner, it is easy to announce your event to all your club's members by emailing them a personalized invitation to your event. Each invitation comes with a "Register Online" link to invite members to register themselves and their guests. (Learn How)

  3. Inform the Club Presidents of other clubs in your District
Event chairs know that after club members, other Rotarians in the area are the best to approach about your event. Your ClubRunner EventPlanner makes this step a breeze. Just select the clubs that might be interested (those are usually the ones that are geographically close). The EventPlanner will send their Presidents an email, complete with a signup sheet showing a list of their members. All they need to do is print it and pass it around at their next meeting. After members indicate "Yes" or "No", the President can either register them online, or fax the sheet back to you. (Learn How)

  4. Let us prepare the map
When you enter the event location and address, you are providing the information needed to prepare an automatically-generated map (on Yahoo! Maps). This saves you the effort of preparing a map, and also saves your attendees the trouble of looking up the event location. A link to the online map (with directions) is automatically provided with every event invitation, and is also available with the event description on your Club Site.

  5. Monitor who is registering online
Check the site on a periodic basis to see who has registered online. EventPlanner will produce reports to give you a list of registered attendees. Choose an alphabetical listing, ideal for the ticket table on the day of the event. Or choose a detailed summary grouped by their club, ideal for calculating event fees. (Learn How)

  6. Register attendees yourself
Remember, not everybody who wishes to attend your event will have an email address. Those people will let you know by telephone or in person. However, you should still register them yourself in the EventPlanner so that they appear in the reports, as well as have a name tag printed for them. (Learn How)

  7. Prepare name tags
Everybody knows how handy name tags are in large events where you do not know every person in the room. However, preparing name tags for every guest can quickly become a huge task, especially when the guest list numbers in the hundreds! With EventPlanner, you will get a ready-to-print formatted Microsoft Word document of name tags for everybody who is registered for your event. You just need to have a printer and labels! (Learn How)

  8. Communicate easily with your attendees, either before or after your event
Everybody knows some last-minute changes might rise, giving you the need to quickly contact every person who is planning on coming to your event. You simply provide the message, and EventPlanner will send it to every registered attendee, and you don't have to know a single email address. This is great for sending a Thank You note after the event as well! (Learn How)
