How do you keep members reminded of their commitments?

One of the trickiest parts of running a successful Rotary club is getting everyone to remember their duties and commitments, as well as any fellowship and fundraising events that they are booked for. Are you taking advantage of the built-in "reminders" that ClubRunner sends in each member's personalized bulletin.
The ClubRunner personalized bulletin that is sent to each member includes a list of all their commitments. This is a convenient way to remind members, and is done automatically, with no extra work done by the bulletin editor. In order to take advantage of this feature, you must keep your duty roster updated and current, and ClubRunner will take care of the rest.

Every club has a duty roster: a list of roles to be performed at every meeting, along with the member assigned to that role for that time. Some clubs assign members to the duty roster every month, while others update it as frequently as every week. The key is to make sure that members assigned to the duty roster are aware of their upcoming responsibilities.

  • In addition to their meeting duties, members are also reminded of the following: club and district events for which they are booked, any volunteer commitments they signed up for, and also any New Member tasks they are assigned. Reminders are repeated with each bulletin until the event has occurred or the task is complete.

    Tip: Assign a backup member for each duty in case the member that is supposed to perform a duty is unable to attend a meeting. Doing this systematically eliminates the need for a last-minute scramble to find a replacement just before the meeting starts.
