District 6380 and its Clubs Revamp Communication Strategy

District 6380 has been busy transitioning its communication strategy over the past year, to better address the needs of managing some 50 clubs and 2000 Rotarians in south-eastern Michigan and south-western Ontario.
   


Their new ClubRunner Web Portal focuses on moving information to an online format to make it easy for everyone to find what they are looking for. It will also make reporting and updating information more efficient.

Since District 6380’s new Web Portal was launched almost one year ago, already seven of the 50 clubs have signed up for their own ClubRunner sites.

"Not only did our ClubRunner website increase our ability to get more and current information to the clubs, it has become a useful tool for the clubs to communicate and keep current the district. Additionally, it dramatically increased our abilities to directly reach the vast majority of our district’s members.", says District Governor Nominee Gerry Jackson, who has also been the District’s webmaster during the transition. “Now that a number of our Rotary clubs are also choosing ClubRunner websites, our website based communication system throughout the district is becoming even more valuable.”

District Governor Jeff Lichty adds, "In order for a website to be a useful tool in Rotary, members and others need to have reason to visit the website often. Information on the website needs to be current, new and different information routinely appears, and information that is always useful is easy to find. Rotarians are all volunteers with other commitments so that information not only needs to be easily updated, it needs to have the ability to be updated by a number of people throughout the district. Potential members and others need to have the ability to directly contact the right staff person when an item or program sparks their interest, and members, when logged into the web portal, need to be able to communicate throughout the district. Our ClubRunner websites provide all this and more.”

Previously, the District was using a traditional HTML website that was updated by a webmaster. But the site required a certain level of technical knowledge and the updates could not be easily shared across multiple users.

ClubRunner addressed that need by providing an easy to use interface for updating each portion of the site, which did not require lengthy training or a steep learning curve. This meant that the website was now in the hands of more users, and the portal allows certain content authors to update content more easily and often.

Reporting facilities are also made available to all clubs, so that monthly attendance statistics, annual club executive assignments, and meeting information can be updated by each club in real time.

The dynamic website fosters open communication and collaboration with the Rotary community. With this foundation in place, the District hopes to provide better and more relevant support to its clubs in the upcoming years.
