Service Upgrades and Changes - 2005 and Prior

We are constantly working on improving the ClubRunner service thanks to user feedback. Below you will find updates on changes and enhancements. In most cases, these changes will reflect immediately in your site and you will not need to install anything. If there are actions required on your part, they will be listed here.

File Types Added to Documents Download

The following file types have been added to the Documents Download feature on the District site:

  • Speakers Heading Removed
    Dec 08 2005

    The Speakers heading appearing in the club bulletin is now removed if no speakers are scheduled in the future.

    Email Sorted by Date Sent
    Nov 25 2005

    The sort order of messages in the Email Message Centre has been modified to order first by Date Sent, then by Subject.

    Removed Popup Confirmation
    Nov 17 2005

    Popup confirmation removed when emailing an Event Invitation to a selected member. This change will ensure subscribers can navigate freely without triggering their popup blockers.

    District News Recipient Change
    Nov 15 2005

    The feature on District sites to send out a news bulletin will no longer send to past members when the Other Users group is selected.

    Copyright Statement on Images
    Nov 09 2005

    A copyright stamp has been added to uploaded images on the club and District home pages bearing the the club or District's name. This was done to ensure that intellectual property remains with the club or District for any photographs or images uploaded to the site.

    New Member Type Added

    Enhanced Editor for Site Page Stories

    We have enhanced the content editor for site page stories to include text formatting buttons and a spell checker. This release only works on Internet Explorer 5.5 or later for Windows. This change affects club and district sites.

    ClubRunner sites have all been upgraded to new and faster servers to accommodate our growing number of users. We anticipate this will improve the response time for all subscribers especially for document generation features.

    Space Increased for Story and Bulletin Content

    The space limitation for the Story Content area and the Bulletin Content has been increased to accommodate the resulting HTML tags that are created when using the enhanced editor. Note that the Story Brief section limit remains at 2,000 characters.

    Microsoft Office Files Now Uploadable in Document Area

    You can now upload Microsoft Word, Excel, Powerpoint and Visio files to the Download Files area of your website. This affects both Club and District versions.

    New Download Report! All District Member Information
    Feb 15 2005

    A new download feature has been added to the district site: Download Member Data. This report will allow you to download a CSV file of all members in the district. The report includes contact information from the member profiles. Useful applications of this report include: creating mailing labels, mail-merged letters, or a customized directory.

    New District Report! Next Year's Organization Chart

    A new directory has been added to the district site: Next Year's Organization & Presidents. This report displays contact information for all district executives as specified in the Next Year Organization Chart.

    Bulletin Contents no longer require Editor to be specified

    This affects the club site only: Specifying an Editor is no longer required when adding or editing bulletin contents. Choosing the first entry in the Editor drop down list, which is blank, will remove the by-line under the bulletin article.

    New Feature! Printable Club Directory

    A new feature has been added to the club site: A Printable Club Directory. This directory can be generated at any time and will pull in your latest membership information from all profiles, plus photos. Two formats are made available: Word and PDF. To access this new feature, login to your club website, and click on "Printable Club Directory" from the Admin page.

    Custom Club Fields in Member Profile

    Clubs can now add additional, custom fields to member profiles. These fields can hold text, date, or flag types. To set this up, click on Admin -> For Administrators -> Edit Custom Fields. These fields will be included in the Download Member Data CSV file.

    New Attendance Report in Club Site

    A new report has been added to the Attendance Manager system in the club website. Look for the "Customized Attendance Report" link in your Admin page to access this report. You can specify a date range, and this will tabulate all meetings for all members, distinguish regular from make-up meetings, and indicate uneligible meetings for new members or recently terminated members.

    Access Modification in District Site

    Assistant Governors now have access to their clubs' attendance reports. Reminders can also be emailed through the system. The system refers to the District Organization Chart to determine the list of clubs to allow access to.

    New Feature: Website Sponsorship Area

    We have added a brand new feature to the club website: A Sponsorship area that displays ads on your website only. All ads appear on the right hand panel of all pages, and optionally on the home page and e-bulletin. Ads can be images or text-based, and can link to a website.

    Be sure to go to Admin -> Website Sponsorship Guide to upload your own customized page that appears when visitors click on the "Interested?" link on the right.

    This is a great way to raise money for your club, or to show further appreciation to your existing sponsors.

    Story Editor Enhanced

    Editor and Posted Date no longer required

    Stories and News items posted on the club site can now be added without specifying an editor or post date. This is suitable for content added to the site that does not have any date relevance. It also eliminates repeated editor names for those who have one person in charge of home page content.

    New Template Added

    A new template has been added to the club version, called Scandinavia. To preview it, go to Edit Club Info & Settings, select the new template under Home Page Styles, then press Save.

    Email Attachment Limits

    Email attachments file size limit has been changed to 500KB.

    District Monthly Attendance Reporting

    Monthly attendance reporting made through the district site is now available as of the last week of the month.
    A new field has been added to the report: Number of meetings.

    Word and Excel file support

    The internal document repository on both the club and district websites now support Word, Excel, and PowerPoint files. Files must be one of the following types: PDF, HTML, DOC, XLS, or PPT. There is no required action for this upgrade.

    Attendance Manager Improvements

    The Attendance Manager has recently been improved. Please forward this service announcement to the person in your club who reports attendance, as there are important instructions for the transfer of data.

    These enhancements are a direct result of feedback from customers and are designed to deliver more flexible attendance management and improved reporting statistics. Key features include:

    Enhanced Make-up Reporting. Now, you can apply make-ups directly to the missed meeting, resulting in more accurate meeting statistics, and ensuring compliance with the 2 weeks before or after rule.

    Accurate YTD Figures for New Members. Year-to-Date reports now refer to the Joined Date for each member, resulting in more accurate attendance percentages.

    Accurate YTD Figures for Terminated or Exempted Members. Year-to-Date reports now refer to the Termination Date or Exempted Date for each member that has left the club, resulting in more accurate attendance percentages.

    Important Note: You may need to re-enter some make-ups into the new system to transfer your data properly. This only applies to unreported, unclosed months. To do this, please log into your club website, and click on Report Make-ups. You will have the opportunity to view the make-ups that need to be re-entered. Once you have re-inputted the make-ups, delete the old records from the system. Full instructions are presented at the top of each page.
